The purpose of employing a managing agent...

PMMS were the managing agents employed by GMM around 2006 to ease the directors workload and advice the directors on how to tackle GMM issues/responsibilities. PMMS were selected because they were willing to manage the mews within our budget constraints. In early 2010 PMMS served notice to GMM and Galbraith Property Services were employed in July 2010. We need to employ a managing agent because:
  1. The directors are not remunerated by GMM and work for free which means that the time they can spend on GMM issues is limited
  2. The directors don't have all the necessary specialist skills to carry out GMM's legal responsibilities as detailed in your lease. For example if the directors are negligent then not only can they be held personally responsible but GMM may be open to litigation which would impact all lessees financially as you are all shareholders in GMM
  3. It's in the interest of all lessees that the directors are shown to be acting in good faith by seeking specialist advice from a managing agent or other entity as and when required

Procedure to follow to troubleshoot vehicle gate failures

TROUBLESHOOTING VEHICLE GATE ISSUES

If there are any gate issues please email GMM immediately as it is crucial that they are resolved immediately so that access to/from the mews is not impeded.

In October 2011 we installed a new set of gate controls which are designed to leave the gates open automatically should there be a power failure.   If the vehicle gates fail to operate then it's probably because the external sensor beams are blocked or your phone is not registered with the access control system.

Please ensure that the two sets of internal and external sensors, on either side of the gates, are clear or the vehicle gates will not open.  I've attached photos of the four sensors as well as the sign on the gates that states this in the link below:

If you can hear the external sensor fixed to the wall  on the outside of the gates beeping and displaying a blue light then it means that there is either an obstruction, a power failure or a fault.  In case of a power failure the vehicle gates should open automatically but ONLY if there is no obstruction. 
If the internal sensors are blocked then the gates will open but will not close till the obstruction is cleared.  The ivy quite often overgrows and blocks the internal sensor.

Under no circumstances should you force/push/hold back the gates as you risk damaging the gate motors, which, were only recently replaced at a cost in the region of £5000.  Forcing the gates will also cause them to lock and you will not be able to move them till they are manually released by an engineer.

Should the motors be damaged GMM will recover the full repair cost from the responsible leaseholder. It is then up to that leaseholder to recover the cost from the person who caused the damage (e.g. tenant, delivery vehicle, taxi driver, visitor etc.). If you have rented out your property please ensure that the agents/tenants are aware of this.

General Meeting June 29th

Dear all Residents of Gateway Mews

Please be advised that a General Meeting will be held on Monday June 29th at 7.30pm, the location will be : The Caribbean Cuisine Café, 136/138 Kingsland High Street.
(the Café with the Book shop attached).
A table has been reserved, and refreshments, and biscuits will be served.

All property owners are requested to attend. Should you have any queries you wish to be raised during the meeting, please forward to Gateway Mews Management via the email address : gatewaymews@googlemail.com; please state you are a property owner, and the number of your address.

To all tenants, please feel free to attend the meeting, and should you have any queries you wish to raise, please also email them to Gateway Mews Management at the same email address. Please state you are a tenant, and from which number property.

Should any property owner wish to be considered for a directorship of the Mews, giving their free time to manage, and co ordinate the running of the estate, please email the gateway mews email account, so that a list can be compiled. (Tenants cannot be considered). All Directorship considerations should be emailed to Gateway Mews email address by Monday 22 June.

All queries you wish to raise should be submitted to Gateway Mews email address by Wednesday 24 June, so these can be added to the agenda.

Issues to be discussed so far will be :

- The imminent painting of the Mews external woodwork and masonary
- Procedure for reporting any issues, maintenance problems in the Mews
- Procedure for reporting any Rentifone issues
- Procedure for Parking in the Mews, and which properties have the right to park.
- Directorship of the Mews

Parking etiquette and unlicensed vehicles

Additionally, please be aware that if your vehicle licence status is "Unlicensed" then you are in breach of your lease. If your vehicle is off the road then please ensure that you do have a SORN or your vehicle license status will show as "Unlicensed". You can easily enquire on a vehicles license status at the following DVLC link. After clicking on the link you will need to click on the "Vehicle Enquiry" tab on the left and enter the registration and make of the vehicle. http://www.taxdisc.direct.gov.uk/EvlPortalApp/index.jsp Unfortunately we have a few residents who do not have a right to park bringing in vehicles into the mews persistently and inconveniencing a number of others. And because of this it was decided at the general meeting held on the 29th of June 2009 that all parking bays will be clearly marked the cost of which will be borne by all lessees. The signs warning that we have a tow away scheme in operation were put up on the 28th of August 2009 and this now gives us the right to remove illegally parked vehicles. Please be aware that GMM will remove unlicensed and any vehicles not parked in their allocated parking bay with immediate effect and no notice.
Going forward the process for having illegally parked vehicles removed from Gateway Mews is as follows:
  1. Either the lessee of a parking space informs GMM that their parking space is being used without permission or there is a vehicle parked illegally in the mews
  2. GMM try and find the owner of the vehicle via email or by leaving a note (where possible)
  3. If there is no response from the vehicle owner in a timely manner then GMM attach a tow away sticker and inform PMMS
  4. PMMS inform an external contractor who removes the vehicle and places it's details in a police register
  5. The owner of the vehicle contacts the police to find out more information of how they recover the vehicle
The above steps may change without any notice and the best way to avoid being towed away is to adhere to the terms of your lease. Please note that GMM are not responsible or liable for the vehicle in any way whatsoever.
